CALLING ALL  Senior Event Producers / Project Leads whom have a proven history of successfully managing and delivering large-scale, high-value projects. In this role, you'll oversee the daily operations and outputs of project teams, ensuring the seamless execution of outstanding events for prestigious clients. Your expertise in maintaining high standards and building strong client relationships, while providing exceptional customer service, will be crucial. You’re a strategic thinker, a master problem-solver, and someone who thrives under pressure. Reporting directly to the Director of Live, you’ll provide updates, escalate issues when necessary, and switch effortlessly between detailed project management and high-level summaries for senior leadership. As a mentor and leader, you'll inspire junior team members and share your wealth of experience. This is for an Award Winning Events Agency based in London working on a hybrid working model. 

 

 

The In's and Outs: 

 

Project Delivery:

 

 

  • Take ownership of project profitability, ensuring efficient management and delivery.
  • Oversee event budgets and PO authorizations within our event management system.
  • Collaborate with the Director of Live on initial project quoting, budgeting, RFP processes, pitches, and fee forecasting.
  • Monitor outstanding POs and client payments, addressing any issues promptly.
  • Sign off on Statements of Work (SOW) and coordinate with the Financial Controller as needed.
  • Ensure project-specific processes are optimized and followed.
  • Stay closely involved in top-level project delivery, identifying potential issues early.
  • Escalate client concerns, complaints, or quality control issues to the Director of Live with full briefings.
  • Lead project closure within the designated timeframe.
  • Prepare and lead weekly project team meetings.
  • Play a pivotal role during the initial stages and key milestones of major projects.

 

Client and Account Management:

 

 

  • Cultivate and maintain strong, respectful relationships with clients.
  • Lead and contribute to strategic discussions with clients, ensuring operational excellence in day-to-day project management.
  • Research and understand client brand challenges and needs in preparation for meetings.
  • Manage key client accounts on a daily basis, ensuring satisfaction and alignment with project goals.
  • Support RFP processes, leveraging team knowledge and expertise.
  • Collaborate with the Client Services team to identify growth opportunities within client accounts.

 

 

Line Management & Resourcing:

 

  • Oversee team resources, managing time-off requests and project assignments to prevent conflicts.
  • Support the performance review process, ensuring timely updates and follow-ups.
  • Work with the Director of Live and project finance team to manage recruitment needs and freelance spending.
  • Provide mentorship and support to team members, conducting regular one-on-ones to discuss workloads and offer guidance.
  • Assist in recruitment efforts within the Projects team.
  • Support the freelance database, conducting chemistry meetings with potential freelancers, and collaborating with Heads of Departments on broader business needs.

Financial Management:

  • Act as the overall budget owner, supporting financial reporting and ensuring financial processes are followed.
  • Identify and address potential financial issues early, maintaining clear communication with clients.
  • Lead efforts to achieve cash neutrality within the business.
  • Advocate for and implement sound financial processes within the team.
  • Utilize our finance system (Procim) to track fee profitability, time reporting, billing, purchasing, and reconciliation throughout the event lifecycle.

 

What you will need / Are expected: 

 

  • Extensive experience in event project management, with a focus on large-scale conferences and exhibitions ideally.
  • An understanding of the creative and production processes.
  • Strong budgeting and commercial acumen in project management.
  • Proven ability to manage multiple projects simultaneously.
  • Excellent attention to detail and the ability to quickly grasp complex concepts.
  • Exceptional negotiation and organizational skills.
  • Experience working with leading brands.
  • Demonstrated experience in team management and mentoring.
  • Strong knowledge of GDPR and its application in project environments.
  • Experience with pitching would be beneficial
