ARE YOU A CREATIVE STUDIO MANAGER LOOKING FOR A NEW ROLE?

My client has been founded since 2016 and specialises in designing and delivering complex large-scale commercial and residential projects, alongside smaller boutique projects in the interior design field. This studio has grown rapidly, with around 23 Interior Designers, the studio has around 30 projects across 14 cities in the United Kingdom, with a constant project pipeline, this client is the UK's most experienced Interior Design studio within the BtR and PSR sector.

Due to continued growth, the team are looking to bring in a self-motivated, highly organised, and approachable Studio Manager into the team. This role is based in their studio (location disclosed after our first chat) on a part-time basis between the hours of 10 am - 3 pm. 

 

About your REQUIREMENTS:

  • Must hold a full and clean UK driving license with accessibility to own car.
  • Experience with InDesign software is highly beneficial.
  • Experience within an Architectural or Interior Design studio is highly beneficial.
  • Team working and interpersonal skills are essential.
  • Comfortable and confident with a PC, Microsoft Office, and Excel.
  • Fluent in written and spoken English.
  • At LEAST 3 years' experience in a similar role as Studio Manager, Personal Assistant, or similar office administrative role.

 

About THE ROLE RESPONSIBILITIES:

OFFICE MANAGEMENT:

  • Liaison with the Estate office for any maintenance issues of the building, including the utilities, cleaning staff, and security.
  • Being the main key holder listed for the showroom and studio, managing all other key holders.
  • Supporting the team with general studio administration (e.g. post and deliveries, stationery, keeping the studio clean and tidy).
  • The general day-to-day management of the studio; making sure we have coffee, tea, milk, fruit, flowers, and kitchen basics and ensuring it always looks presentable.
  • Meeting and greeting all visitors, be a great host serving refreshments or lunch.
  • Arranging gifts for maternity/paternity leaving socials, staff birthdays, work anniversaries, and Christmas cards/gifts for staff and Clients.
  • Organising events.
  • Answering the studio phone.
  • Organising any team socials (i.e., Summer and Christmas party).
  • Completing any applications and award submissions.
  • Managing the company’s physical and digital filing system.
  • Managing office costs effectively.
  • Overseeing new business leads with the Directors.
  • Managing the company database of suppliers with the Designers.
  • Liaison with suppliers for samples.
  • Keep the sample room tidy.
  • Support the Senior Management team in promoting a positive and supportive work environment.
  • Managing the company’s Health & Safety policy and fire risk assessment, ensuring these are reviewed and acted upon.
  • Ensure staff are doing their time sheets.
  • Ensure staff are using the remote working App correctly.

MEETINGS:

  • Attend Monday morning meetings, ensuring that everyone is briefed on key events & take notes of the meeting.
  • Organise Seniors' meetings.
  • Taking notes in client team meetings that occur in the office.

HR:

  • Basic knowledge of employment, contracts, law, and HR procedures.
  • Issuing contracts to new team members.
  • Working closely with the Directors through the recruitment process, (E.G organising interviews).
  • Support the two Directors in the liaison with the external HR consultant when required.
  • Providing advice to employees on company benefits and entitlements, including the company pension scheme and health insurance
  • Taking ownership of the Company Handbook, updating all policies and procedures as and when necessary
  • Managing the onboarding process for all new employees and consultants, administering all documentation for new joiners and current employees
  • Managing the company’s health insurance policy
  • Managing the bi-annual employee review process, issuing the morale score, and collating results. (Ensure Seniors provide feedback in advance of Mid/ Junior reviews). Taking notes of any actions to be taken.
  • Supporting the Directors on upkeep/maintenance of our cloud-based HR system
  • Overseeing the Studio Intern with the support of Senior Management.

TRAVEL:

  • Organising all company travel (flights, trains, hotels) and liaison with the Office Accountant to process receipts.

IT:

  • Managing all IT, software, and telecoms across the business and working closely with the external IT Consultant.
  • Organising new laptops/ PC's and ensuring all staff are set-up at home.
  • Organising software and any HR courses.

PA TO THE DIRECTORS: 

    • Diary and travel management for the Directors.
    • Managing Director’s calendar and diary.
    • Managing and preparing complex travel itineraries (E.G., Milan Saloni, personal holidays).
    • Managing the Director’s cars – (E.G., tax disc, MOT, servicing, expensing mileage and leasing).
    • Assisting in any organising/admin tasks associated with marketing.
    • Organising parcel returns.
